DHD&CT Meeting Minutes - August 14, 2008

  • In Attendance:
    • Jane Dougert, Terry Fink, Barbara Brooke-Reese, Paul Reese, Carla Wood, Heidi Welch, Stacy Welch, Emma Morse, Joan Morse, Barbara Nagle, Sandy Gillespie
  • Secretary’s Report 
    • Minutes of past meeting posted on the website.
  • Treasurer’s Report
    • brief overview given.
  • Business –
    • Review of Special “E-meeting” held by Board members.
      • A special E-Meeting was held between the board members to set procedures for the upcoming 2 shows
        • Item 1: Should we change the rules so that only DHD Members can ride in our 2008 fall shows? Vote:    5 yes    2 no
          • It was also decided that it is the ‘rider’ must be a ‘member’ to participate
          • Membership form and payment may be sent in with entry form
        • Item 2: Should we consider using part of the show proceeds towards
          • ‘cash’ prizes since we will not be holding an awards banquet after the fall 2008 shows? Vote: 6 no, 1 yes
          • It was decided not to touch current club funds for prize money and just use new monies collected as a result of class sponsorships and entry fees less show expenses.
    • Show Directory –
      • It was reported that Cynthia Lord working on completion of layout & content. Barbara Brooke-Reese & Paul Reese stepped up to take on the responsibility of printing and mailing the directories to current club members. Barbara was able to negotiate a great rate.
    • Fall schooling shows –
      • Judges - Sandy has sent out contracts for the 2 judges. The October 12th judge is Charlotte Trentelman "S", the November 9th judge is Tina Drake "R".
      • Prize list – to be published with the entry form on the website and in the directory.
      • Prizes - Jane volunteered to take on the task of purchasing prizes for both shows. Sandy informed Jane that Marijo had purchased enough ribbons last year that should cover both shows. Sandy will get the ribbons from Marijo.
      • Cash prizes will have to be determined once class sponsorships and entry fees are received. High score awards will be given for each level. Members in attendance voted to set the minimum score required for a high score award at 58%.
      • Class prize sponsorships - forms will be emailed by Jane to all the members again and posted for download on the website. A prize for member who obtains the most $$$ value will be given.
      • Volunteers to help set up / during / after – volunteer signup sheet was passed around the meeting table. Jane will also email the updated form to the general membership.
      • Concessions - Jane will try and contact the Veggie Hot Dog and the Bar B Q vendors to see if they would like to set up. Wickham Park has strict requirements for food vendors, so that will have to be determined.
    • DHD Rewards Reports
      • There is a list of members that still owe the club a DHD reward report for clinics attended. Sandy Gillespie gave her verbal report at the meeting, Barbara Brooke-Reese will post her report to the website. Sandy stated that Sarah Gillespie will also send a report for posting to the website
  • Incoming Correspondence –
    • Door Prizes
      • Jane received certificates for free pairs of horse boots from Bar F Products, She handed out gift certificates for the boots to those wanting them. These will be available to members who attend the meetings while supplies last. Heidi brought her pair of boots and stated that they were nice free boots for the $24.95 shipping.
  • Misc. News -
    • Next meeting – location will be back at Applebees on September 11th at 7:00 PM
    • Hidden Acres – Walk/trot event (with 3 phases all in one day), Aug. 30th,
    • DHD&CT was well represented at the 4-H State horse show. In Dressage, Jr/Intermediate aged riders Skyler Nasrallah and Allie Bost placed 7th and 9th respectively out of approximately 28 riders. Sr. aged riders Sarah Gillespie, Katherine Kaltenbach and Samantha Crum placed 2nd, 4th and 7th respectively out of approximately 35 riders. Member Katherine Kaltenbach did attend the Southern Regional 4-H Championships in Lexington Virginia. Sandy did know that she placed in Dressage, but was not sure exactly what place. Great job to all our dressage riders!
