Secretaries Minutes – February minutes were not posted to the website until today. Approval of these minutes was tabled until the next regular meeting so that everyone will have an opportunity to review them.

Treasurer’s Report Due to our bank’s change in name, our old checks and debit card are no longer valid and cannot be used. New checks have not been received yet. They should be delivered to Victoria on Friday, March 9. If this does not happen, then immediate expenses for the March show will have to be paid via a personal check with reimbursement from DHD to follow.

The debit card also needs to be renewed.

USDF Roster Update – Updates were submitted on Feb 17. However the USDF website does not reflect these updates yet. Since payment was sent via the debit card which is no longer valid there could be an issue with the payment. Jane Moody will check on this with USDF. One new membership was received this month.

Business:

March Show

We have 107 rides. We will utilize 2 rings. There are a total of 8 TIP qualified horses.

Standard ring starts at 8:00 a.m. and the short ring starts at 9:30 a.m. Ride Times have been posted to the DHD website.

Short ring will be setup on the north side of the Main Ring just east of the bleachers. We must make sure that vehicles do not park in this area.

Sandy will check with Marijo to see whether she can bring her ring for setup on Saturday or whether someone needs to pick it up. Barbara Nagle reminded the group that we have been offered use of the Space Coast Arabian Horse Club’s chain dressage ring. This ring would be easier to transport than Marijo’s rail ring.

Lynne will provide a canopy for the short ring. Sandy will provide tables for both judges. Barbara Nagle will provide chairs for judge and scribe in both rings.

The photographer/videographer has cancelled his services. No one could think of an alternative resource. Barbara Nagle pointed out that it is difficult for a photographer to make any money at a schooling show.

Arena Storage Update

The bags are here!!!!!!!!!!!! The workmanship was excellent. Lynne washed/dried the ring pieces and packed them away in their storage bags.

There are 3 different size bags that should be filled as follows:

Long, rail bags – pack 10 rails per bag

Large, letter bags – pack 6 letters per bag; group letters by ring sides

Medium, base bags – pack 5 bases per bag; keep the 4 corner pieces in one bag plus one other base piece

Lynne will write DHD on all bags. She will also label the letter bags to indicate which letters go in each bag and she will label the bag that stores the corner base pieces. This identification will facilitate both unpacking the bags for setup and packing the bags for storage.

We still need to pay the vendor who made the bags.

Lynn needs to report her service hours to Barbara Nagle for ring handling.

Sharon Poulin Clinic

The April 14/15 clinic is full with one person on a waiting list. Clinic will be held at Wittsend Farm.

We may organize a “Fire Pit” for Saturday night but this is not definite.

Christie asked about the procedure for handling incomplete clinic entries. The group advised the following procedure:

  1. 1. All clinic registration information should include a closing date for submission of entries.
  2. 2. Entries that are not complete as of the closing date will NOT be accepted.

Due to the popularity of Sharon Poulin, DHD would like to offer two more Sharon Poulin clinics this year; maybe in June and again in mid October. Christie will check with Sharon for available dates.

Year End Recognition

Outdoor pavilion (covered and in shade; capacity approx. 35)

Time: 1:30 p.m.

Food: Order off regular lunch menu

Sandy will send an email invitation to award recipients.

Jane will send out an electronic Evite to all DHD members and award recipients who are not DHD members requesting an RSVP. This will give us an idea of headcount.

Sandy will send Jane her email list.

Budget for awards = $2,000

Awards to be given:

  • Grand and Reserve for each class excluding Dressage Equitation and Prix Caprilli. Winner must have shown in at least 3 of the 4 shows and only scores above 55% will be considered.
  • Outstanding Sportsmanship, DHD member
  • Outstanding Service, DHD member
  • Outstanding Service, non DHD member

Nominations for the three “Outstanding” awards will be taken through April. Voting will be done at the May club meeting.

Suggestions for Class Awards:

  • Grand – Embroidered director’s chair (estimated cost $50) and ribbon
  • Reserve – A Robin Masek “Box” (estimated cost $30) and ribbon

Sandy will research vendors including “Your Logo” for embroidering.

DHD Rewards

Barbara Nagle reviewed the rewards tracking spreadsheet. Rewards can be earned by DHD members for show volunteer hours or for other services that are performed for the club. Barb tracks show volunteer hours fairly easily but other service hours must be reported directly to Barb. Examples of other service hours are: the hours Lynne spends handling the dressage ring, the hours Christie spends organizing a clinic, or the hours Sandy spends processing show registrations and generating ride times.

Show Directory

The hard copy “Show Directory” and equivalent online copy may not be the best way to present this information to the public. Information presented in this format is quickly outdated. And publishing the document is time consuming and costly.

A better method might be directly through the DHD website where the information is accessed in a logical manner through drop down menus and links.

Sponsors could be displayed on the top level page in a side bar. Sponsors would all pay a single fee (maybe $50) per year. Barbara Nagle will compare the information in the current “Show Directory” with what is available directly on the website to determine what information would need to be added to the website.

Brags

Sandy Gillespie recently received her 2nd regional qualifying score for 2nd Level. She received 9’s for the medium trot and entry halt.

Katy Bissinger recently received her 2nd regional qualifying score for Training Level.

Christie Slayton will be showing Prix St. George at the Orlando Heidleberg Cup shows as she continues her hunt for Gold certification.
